Your outbound stack is missing a layer

Most B2B SaaS teams have a sequencer, a CRM and a data provider. What they do not have is anyone managing the infrastructure all three depend on. Sending works, until it quietly stops working, and by then the quarter is already short.

The bar has moved. Gmail, Yahoo and Microsoft have all tightened sender requirements since 2024, AI-generated outbound is flooding inboxes and training new filters, and reputation now degrades without a bounce or an error to warn you. The first real signal is a reply rate drifting down, which looks like a copy problem long before anyone checks the infrastructure.

Warm-up was sold as the fix. It moves one signal, early, and its effect fades exactly when volume rises and campaigns start mattering to revenue.

How Folderly manages deliverability for SaaS teams

01

Diagnose

We audit every layer that decides whether your email is delivered: authentication and DNS, domain and IP reputation, sending patterns, list quality, and how each provider currently treats your domains. You get the specific reasons your email is failing, ranked by impact.

02

Fix

Your specialist works the root causes in priority order. Authentication corrected, damaged reputation rebuilt, sending patterns restructured around what providers reward, and the list problems that keep re-triggering filters removed. Hands-on work, not a report handed back to your team.

03

Monitor

Seed-based placement testing runs continuously across every major provider, so a shift in how Gmail or Outlook treats your domain shows up the day it happens. You find out while it is still small, not after it has cost you a campaign.

04

Compound

Because reputation strengthens with consistent, well-managed sending, teams on Folderly see performance improve as they scale rather than decay. Adding mailboxes stops being the thing that breaks your numbers.

What the platform covers

Authentication and DNS

SPF, DKIM and DMARC configured correctly, then kept correct as domains and sending tools change underneath them. Misconfiguration here is the most common cause of sudden, total delivery failure.

Reputation monitoring and repair

Domain and IP reputation tracked across every major provider, with active remediation the moment a signal degrades. Reputation is the slowest thing to rebuild, which is why we do not wait for it to break.

Inbox placement testing

Seed-based testing shows where your email actually lands across Gmail, Outlook and the rest. Acceptance by a receiving server tells you nothing about whether a human will see the message.

Email validation

Validation that checks ESP-specific filters and email protection tools, not just whether an address is syntactically valid. Knowing who you can actually reach protects your reputation as you scale the list.

Blacklist monitoring

Continuous monitoring across the blacklists that affect B2B sending, so a listing is caught early and the cause is identified. Most teams find out they have been listed from a prospect, not from a tool.

A named deliverability specialist

One person accountable for your outcome, not a support queue and not a dashboard you are left to interpret alone. This is the most common reason our customers stay.

Who this is for

Roles

Founders, sales leaders and RevOps

Whoever is accountable when the outbound number slips. In most SaaS companies that is three people who each assume one of the others is watching deliverability.

Company profile

Software companies sending from many domains

Product email, lifecycle email and cold outbound all leaving the building at once, often across several domains and sending tools that nobody owns end to end.

Trigger

Growth added sending faster than anyone added control

New domains for new segments, new tools bought by new teams, and no single view of which of them are healthy and which are quietly burning reputation.

How this compares to setting it up once

Most tools help you get set up. What matters is what happens in the months after.

How continuously managed deliverability compares to a one-time setup
What changes The usual approach With Folderly
Adding a domain A new domain is a fresh gamble It is onboarded onto a foundation that already works
Product and outbound email Managed separately, judged together Both watched, because providers score the whole estate
Knowing it works You can see your emails were sent You can see where they landed, domain by domain
Who is watching Whoever noticed the drop first A named specialist whose job it is
Growing sending More volume, thinner results More volume on reputation that keeps improving
Seamless integration

Supported ESPs

B2B SaaS deliverability FAQ

Why do our cold emails stop working once we scale the team?
Adding mailboxes multiplies whatever your infrastructure is already doing. If authentication is slightly wrong, reputation is soft, or list quality is uneven, more volume does not produce more pipeline, it produces more evidence for the filters. That is why teams often see reply rates fall in the same quarter they add headcount.
Our product emails land fine. Why does outbound struggle?
Product email usually goes to people who signed up and engage with it, which builds a friendly signal on that domain. Cold outbound goes to strangers, often from a different domain with no history, and is scored far more harshly. Healthy product email tells you very little about how your outbound domains are being treated.
We send from several domains. Does that help or hurt?
It helps if each one is managed, and hurts if they are not. Separating outbound from your primary domain protects the brand, but only when every domain is authenticated, warmed properly and watched. Most SaaS companies end up with domains nobody owns, which is where reputation quietly rots.
Does this replace our sequencer?
No. Folderly manages the infrastructure underneath your sending stack rather than replacing any part of it, so your sequencer, CRM and ESP stay where they are.
What does it cost?
Pricing is per mailbox, so it scales with your sending operation rather than your headcount. For most SaaS teams the useful comparison is against what a quarter of under-delivered outbound already costs.
We are about to double our sending. Should we fix this first?
Yes, and it is far cheaper. Scaling onto a weak foundation damages reputation across every domain you are sending from, and reputation takes weeks to rebuild rather than days. Fixing first means the extra volume compounds instead of costing you the quarter.
Who normally owns this inside a SaaS company?
Usually nobody, which is the problem. It sits between RevOps, marketing ops and whoever set up the domains, so it gets attention only after something breaks. A named specialist exists to make that ownership explicit rather than assumed.
