G Suite often sounds weird, especially if you don’t know what it is. However, we have all dealt with it on some level. Most of us have heard about Gmail, right? And most of us probably have Gmail accounts. Well, this is kind of it. Only Gmail is just a part of a much bigger (and useful) thing — and the thing is called G Suite

Fun fact: G Suite isn’t the real name of the service. Several years ago, G Suite did a rebranding, and today, they’re called Google WorkSpace. 

So, to sum up, Google Workspace (formerly G Suite) is a set of unified online services to help you and your company grow. Let’s see what we mean.

What Does G Suite Offer to Your Business?

G Suite can help boost your company’s performance. The variety of close-knit and cohesive G Suite tools make your brand’s work processes easier, quicker, and more effective. In a nutshell, with G Suite, you gain a set of office software for your business and a personal Gmail account for each of your employees. Let’s see what services are inside G Suite.

What Precisely Does G Suite Include?

In a nutshell, G Suite is a series of several services, including:

  • Gmail — pretty self-explanatory, right? Gmail is your typical mail service. Gmail accounts are an integral part of almost everyone’s online routine.
  • Google Docs Google Docs is one of the G Suite services that is used for creating documents on the web and working with them online. Basically, Google Docs is an online alternative to Microsoft Word (a component of Office 365). 
  • Google Drive Google Drive is everyone’s favorite cloud storage. On Google Drive, you can store your text documents (including those you created in Google Docs), photos, video, audio, and the list goes on.
  • Google Calendar — this G Suite tool helps with building schedules, merely checking what day of the week and date it is, and keeping track of your plans. 
  • Google Forms — this G Suite apparatus helps conduct surveys and get analytics from them. Simply put, it’s a survey tool.
  • Google Sheets — among other tools, Google Sheets is among G Suite’s most popular instruments, allowing users to create, fill in, and share charts and tables. With Google Sheets, you can count your revenue, keep track of your statistics, and organize your tasks in columns. It also does the counting for you, using special built-in formulas.
  • Google Slides — this G Suite service assists in creating online presentations on your cloud. Remember creating those Powerpoint shows? This is the same thing, only simpler: while PowerPoint users often have too much trouble figuring out how the interface works, G Suite clients get the hang of the tool immediately.
  • Google Meet other tools on the list of G Suite services, like Google Meet, are also helpful for you and your company. This one allows hosting online video conferences without any trouble. Plus, it’s way easier to use than other software.

Easy peasy, right? You might have noticed that we compared G Suite to Office 365 services a couple of times, and it is for a good reason. Think about G Suite this way: it’s your normal Microsoft Office plan, only online-based and with a mail service at hand. 

But What’s the Chief Difference Between Gmail and G Suite?

Is there any difference at all? Yes. And it’s not just the fact of Gmail being a regular inbox service and G Suite consisting of several similar tools. 

Gmail is free of charge and is primarily aimed at individual users, while G Suite requires an additional fee and is designed for businesses. Let’s take a closer look.


First of all, it’s free, so you won’t have to pay any money for using Gmail. Second of all, it’s just for you and your personal needs. In addition to the mail service, you also get some free limited storage space and access to all above-mentioned tools (Google Drive, Google Docs, etc). 

As a Gmail user, you won’t be able to add any other users (like your colleagues or friends), and your email address will be built according to the following formula: yourname@gmail.com. Now, let’s look at what G Suite customers get.

Spoiler alert: with a G Suite account, you get way more. Yes, it’s not free of charge, but it’s definitely worth every cent. This is what you’ll receive if you use G Suite services:

  • way more storage in the Google Drive system

Is G Suite Really That Popular?

Judge for yourself: in a survey of over 200 people, they were asked what document instruments they were using, and most of them (precisely 79%) claimed to be favoring a G Suite plan. Pretty impressive, isn’t it?

Of course, these statistics are true mostly for younger businesses and startups. Older and bigger brands, on the other hand, prefer the well-known Office 365. And that makes sense: after all, these companies were founded and began their work during the Office 365 era. So it’s only natural that these business veterans favor the software that they’re used to. 

Nonetheless, the new and more progressive generation of businesses have waved goodbye to Office 365 tools as they tend to use G Suite (or Google Workspace, if you will).

What Are the Benefits of G Suite In Comparison to Other Tools?

When compared to other online document services, G suite has two main advantages. All G Suite users know that with a G Suite account, you get:

  • a terrific user experience
  • the finest collaboration on the market

Let us explain.

Terrific User Experience

Yes, all document platforms claim that they’re easy to use. But the G Suite services are actually easy to use. This is because the creators of Google Docs, Google Sheets, Google Drive, and all other tools of the G Suite marketplace have invested a ton of time and plenty of skill into making the service truly simple in use. 

Users often compare G Suite and Office 365 tools, hinting that the first one isn’t as advanced. Indeed, Google Sheets, for example, may not be as detailed as Microsoft Excel, but do you know what else this means? That it’s not as confusing as the Office 365 product. Plus, it has almost all features of the tool. So why make it harder?

G Suite plan programs are great for almost all users, not just document pros, and that’s the beauty of them. 

Finest Collaboration on the Market

No, we’re not talking about partnerships. We mean the built-in feature of the service. Unlike Office 365, G Suite services offer a tremendous amount of opportunities that make working with their documents super convenient. Let’s talk about them.


One of the best things about G Suite tools is comments. For example, when working in Google Docs, you can add comments and suggest edits to your texts and images. Just highlight the desired piece of information, click Command (or Ctrl on Windows) + K, and voila — you can add any comments you want (and as many as you need, too). Then, you’re able to accept or decline the remarks added by your teammates without having to rewrite them from scratch. Does Office 365 have the same feature? No. At least not online.


Sharing is another cool feature. In a nutshell, you can share your documents with your colleagues or friends. There are two ways to do this: one is adding their email to the list of people who can view, edit, or suggest on it; the other one is copying the document’s URL and sending it to desired viewers, editors, or commentators accordingly. This way, you possess full control of the doc. Not a typical Office 365 feature either.

Editing in Real Time

This one is what all G Suite users especially love the service for. Real-time editing makes your work in the documents so much faster and easier. And this is how it’s done: several users open the same doc at the same time and…drum roll…it works! Yes, you can edit, comment, and make amendments in the same doc and at the same time (aka in real time). Plus, as soon as someone has made a change in the document, you’ll see it right away. None of the users working on it have to open the file multiple times, exit, or save it over and over again. The service does all the work for you.

At first glance, these perks may seem insignificant. However, in the long run, they’ve proven to immensely enhance users’ performance and save them a ton of time.

Now it’s time to talk about G Suite drawbacks (they can hardly be called that, but still).

What Are the Drawbacks of G Suite in Comparison to Other Tools?

We feel like it is kind of illegal to call this a drawback, and yet there is one big complaint regarding the service that customers just keep emphasizing. And that is incoherence between the programs.

It’s no secret that collaborating brands and companies often resort to different tools. For example, you might be a fan of G suite, but your partners are only willing to work with Office 365. In this case, that would be a huge problem. Even though the two platforms have a lot in common, they’re not synchronized. As a result, one of people’s greatest negative comments about G Suite is “It’s not synching with our partner’s doc service” or “G Suite is only good if you use it in Google’s ecosystem.”

And actually, this happens quite often. For example, some workers store their data in Dropbox and not Google Drive while others opt for Google Sheets instead of Excel. Even if you have a single company rule regarding which service to use, individual employees may still decide to be a member of the other party. 

For this reason, we suggest looking at what kind of tool the dominant majority of company workers refer to. If it’s Microsoft’s products, then it might be a great idea to use Office 365’s tools and vice versa. You get the idea, right? Coherence and synching are key aspects of the successful performance of whichever platform you end up using. 

Is G Suite Good for Private Use?

Of course! 

You don’t have to work in a huge company with thousands of workers to be a G Suite member. All you’ll have to do to use the platform on an individual level is sign up for a single-person G Suite plan. Good news: you can also use the program for free — if you register with a private Gmail account.
